Teams and members

Create teams, invite members, assign roles, and manage team limits.

Teams let several accounts work on the same APIs and entries. Personal workspaces and teams are both called "workspaces". APIs, media, and API keys are kept separate for each workspace.

You manage members and invitations on the "Members" tab in workspace settings. For an overview of all settings, see Workspace settings.

Create a team

  1. Select the workspace name in the header, then "+ Create a team".
  2. In the "Create a team" dialog, enter a "Name" and an "ID". The ID can use lowercase letters, numbers, and hyphens.
  3. Under "Plan", choose "Create for free", "Create with Plus (¥980/month, tax included)", or "Create with Pro (¥4,980/month, tax included)", then select "Create".

The ID appears in the URL and the delivery API (genko.me/design-team), and you cannot change it after the team is created. Choose an ID that will stay practical.

Each owner can have up to two free teams, and their storage is shared with the personal workspace. If you create a team with Plus or Pro, you go to the payment screen after the team is created. If the payment screen does not open, the team already exists, and you can upgrade again from the team's "Plans and usage". For how storage is shared, see Plans and limits.

Give the Editor role to people who write entries and the Viewer role to people who only review them. Editors can also change publish status and delete entries, so agree on working rules within your team.

There is also a Maintainer role. You can choose it when inviting, or when an owner hands a team over and chooses to stay as a Maintainer (see "Hand a team over" below). A Maintainer can do what an owner can for APIs, schemas, API settings, API keys, webhooks, and content languages, but cannot manage billing, plans, or members, or delete the team.

Invite members

Only owners can invite members.

  1. Open the team you want to invite people to, then select the workspace name → "Settings and plan".
  2. On the "Members" tab, select "Invite members".
  3. Enter an "Email address", choose a "Role" (Maintainer, Editor, or Viewer), and select "Send invitation".
  4. The invitee opens the link in the invitation email and selects "Accept invitation" to join.

You can invite people who do not have an account yet. New members should register with the email address the invitation was sent to. If someone opens the link while signed in to an account with a different email address, they cannot join. They need to sign in with the account that matches the invited address.

To bring someone in as an owner, invite them as an Editor and change their role after they join.

Manage pending invitations

"Pending invitations" appears at the bottom of the "Invite members" screen. It shows each invitation's email address, role, sent date, and expiry. The number next to the "Invite members" button is the number of pending invitations.

  • Cancel: Revokes an invitation that has not been accepted. The slot it used becomes available again.
  • Resend: Appears on invitations that have expired ("Expired").

An invitation is valid for 7 days. If you invite the same email address again, the earlier invitation stops working. Ask the invitee to open the latest email.

Member limits and invitation slots

A Free team can have up to 3 members including the owner, a Plus team up to 10, and a Pro team up to 30. Pending invitations that are still valid also take up a slot. If you reach the limit, you cannot send more invitations, and the screen shows "Member limit reached. Contact genko.me support to add more members."

If no slots are left, check your pending invitations and cancel the ones you do not need. A free team is limited to 3 members even if your personal workspace is on a paid plan. To allow more members, upgrade the team itself to Plus or Pro. If you need more than 30 members, contact us.

Change roles or remove members

On the "Members" tab, an owner opens the menu on a member's row and chooses "Change role" or remove. You cannot remove yourself, and a team owner's role cannot be changed or removed.

Members who are not owners can see the list on the "Members" tab but cannot change anything.

Removing a member does not delete their genko.me account.

Hand a team over

To hand a team's billing and management to someone else, use the "Handoff" tab in workspace settings. It is available for teams only, and only the person who holds the subscription (the billing owner) can send a request.

  1. On the "Handoff" tab, choose a recipient from the members, or enter an email address to hand over to someone outside the team.
  2. Choose your role after the handoff: Maintainer, Editor, Viewer, or leave the team. A Maintainer keeps managing settings, APIs, and webhooks but cannot manage billing or remove members.
  3. Type the team name to confirm, then select "Request handoff".

The recipient opens the link in the email, reviews the request, verifies their identity, and accepts. For a paid team, they also add payment details. A request that is not accepted within 7 days expires. Until it is accepted, you can cancel it from the same tab, and nothing changes.

For a free team, ownership changes as soon as the recipient accepts. For a paid team, your subscription continues until the end of the current billing period, and billing switches to the recipient on that date. The "Handoff" tab shows the status and a history of past handoffs.

Check before deleting

An owner can delete a team from the "General" tab in workspace settings. All of the team's APIs, content, media, and members are lost, and this cannot be undone.

Deleting an owner's account also affects shared data: every workspace that owner owns is deleted.

Before you proceed, check the team's members, the sites that use it, and the entries you still need. Workspaces owned by someone else, where you are only a member, are not affected by deleting your account. See Account and authentication.
