Manage media

Upload, inspect, replace, and delete images and files.

Images and files belong to a workspace. Entries refer to media by ID, so when you replace a file you do not have to update the URL in every entry.

Open the media library

Select the workspace name in the header, then "Media". Uploaded files appear as tiles. Use "Search by filename" to narrow them down, and change the sort order (creation date or size).

Storage usage and the breakdown by format are under "Plans and usage" in workspace settings, not on the media screen. See Plans and limits.

Upload

Upload files from an image or file field in an entry. The media library lists uploaded files and lets you replace, rename, or delete them, but you cannot upload new files there.

Supported files are JPEG, PNG, WebP, GIF, AVIF, PDF, text, ZIP, MP3, and MP4. A field's type and settings can narrow the allowed formats further.

After uploading, save the entry so that it references the media. Finishing the upload does not save the entry.

Check status

StatusMeaningWhat to do
In useReferenced by entriesCheck which entries use it before you change or delete it
Not in useWas attached to an entry before but is not referenced nowIt is not deleted automatically. Delete it yourself if you do not need it
Scheduled for deletionUploaded but never attached to an entryDeleted automatically after 24 hours if still not attached

"Scheduled for deletion" means the file has never been attached to a saved entry. Attach it to an entry and save within 24 hours.

Check details

Select a tile to open its details.

  • Format, size, status, creation date and time, first use, and URL (you can copy it)
  • Default alt text
  • "Open file"
  • Entries using this media: how many entries use it, and up to 20 of them.

You can rename a file next to its name in the details, or from "⋯" → "Rename" on the tile. Renaming does not change the public URL or the file itself.

"Default alt text" is the starting value when you add this media to an entry. Changing it does not change the alt text of entries that already use the media.

Replace

In the details, select "Replace" and choose the new file, then confirm with "Replace". For images, you can also apply a cropped version with "Edit image".

A replacement affects every entry that uses the media. They keep the same media ID, and the delivery API returns the new URL the next time it is fetched. You can replace an image with another image, and other files with a file of the same type. If your site caches fetched results, refetch the content and refresh the cache.

Delete

Use "Delete" in the details, or "⋯" → "Delete" on the tile. Media that is in use cannot be deleted. Find the entries under "Entries using this media", remove the media from them, save, and then delete it. If a reference remains, the request is rejected with 409.

Version history does not back up the file itself. If you may restore an earlier version of an entry later, keep the media it used.

Permissions

Owners and editors can rename and replace files, edit alt text, and delete media. Viewers can only see the list and the details.

Storage and upload limits

Free allows 50 MB per file and 5 GB of storage, Plus 200 MB and 30 GB, and Pro 500 MB and 100 GB. Free teams that fall under the shared quota of a personal paid plan use that plan's file size limit and storage. The maximum number of free teams and the conditions for restoring version history do not change.

Plans and limits explains exactly what is shared. If you reach a limit, delete files that are not in use or review your plan.

Delivery URLs

A media URL is public and can be fetched without an API key. Setting an entry to draft does not make its image and file URLs private. Do not store materials that must stay private or confidential information in media.

Media is delivered with long-lived caching. Deleting or replacing a file cannot undo a copy that someone has already fetched and stored.

For resizing and format conversion, see Image transforms.
